Late checkout approval
Send this only after you know the cleaner or the next guest can absorb the later time.
When to send
Send a yes when you have checked the constraint that actually limits checkout. That is usually the cleaner’s arrival or the next guest’s {original_checkout_time} gap. {new_checkout_time} is a clock time, not “whenever you are ready.” {cleaner_note} tells them the consequence in one line: “The cleaner arrives at 12, so the kitchen needs to be clear before then” or “There is no cleaner today, and the extra hour is fine.” {guest_name} should see both times so there is no argument later about what was approved.
Do not send this because you want to be kind and you have not looked at the calendar. A yes that you revoke at 10am is worse than a no sent the night before. If you are unsure, send the no, or ask for an hour to check and then send one of the two templates. A “probably” is not a template you should save.
{property_name} matters if they have the checkout time of a different listing in their head. Say the home.
Timing tip
Answer the request the same day they ask, and the same hour if checkout is tomorrow. They are often asking because of a train. A yes that arrives after they have already booked an earlier ticket is wasted kindness. If you need the cleaner’s confirmation, write that you are checking and name the time you will reply. Then send this note, not a second vague update.
Send it before the checkout reminder if you already know, so the reminder does not quote {original_checkout_time} and contradict you. If the reminder went out first, this message has to say the reminder’s time is replaced. The template does that by naming both times. Keep both.
Do not offer a late checkout in the original confirmation “just in case.” You will forget which guests took it. Wait for the ask, or offer it only on mornings you have already blocked as empty.
Common mistakes
“Stay as long as you want” is the first one. The next guest, the cleaner, and quiet hours are all real. {new_checkout_time} ends the yes. If they are still there after it, you are back to a normal late departure.
The second is a fee you did not state. If the later hour has a price, the price has to be agreed before this yes, in the booking tools, not invented in {cleaner_note}. A surprise charge after they have left at the new time feels like a trap. If there is no fee, do not hint that there might be one.
The third is forgetting turnover. Tell the cleaner the new time before you tell the guest, or in the same ten minutes. {cleaner_note} should not promise a gap the cleaner does not have. Update the turnover checklist in your own head: a noon departure means the beds are not free at 10.
After they leave
The later time does not change the tasks. If the home is left in a way the listing did not allow, handle that as its own fact. Do not treat the late yes as a favor they now owe you in the review. The approval was a schedule decision. It is complete when they lock up at {new_checkout_time}.
